Private PA for an Ultra-High-Net-Worth Family in Central London, UK

£60,000 - £70,000 yearly

Job Description

Private PA to a family – Central London office and West London home – £60,000–£70,000 DOE

An ultra-high-net-worth London family of five is looking for an outstanding Private PA to keep their busy family life running smoothly. The heart of the job is running the family calendar and co-ordinating the lives of three school-age children – schools, activities, social plans and holidays – alongside travel, restaurant and social bookings, household matters and occasional recruitment projects. You will work closely with the female Principal, who is your main day-to-day contact, and with the Executive Assistant to the CEO, as part of a small, close-knit team where initiative, collaboration and discretion matter.

  • Working pattern: 3 days a week in an office in Central London and 2 days at the client's home in West London
  • Salary: £60,000 to £70,000, depending on experience
  • Contract: Permanent

What you will be doing

  • Owning the family calendar, the most important part of the role: turning forwarded emails, screenshots and messages into accurate diary entries and updating them as plans change
  • Running the children's school life across several schools, including entrance exams and applications, tutors, school events, fees and portals, and all school admin and liaison with teachers, tutors and nannies
  • Organising extracurricular activities and sport (e.g. football, dance, tennis, golf, swimming, music): sign-ups, re-enrolments, avoiding clashes, payments and the daily plan of who takes each child where
  • Researching and booking travel and holidays (private jet, commercial flights, cars and logistics, hotels and resorts, villas), preparing itineraries, keeping track of travel days and managing trips from start to finish
  • Looking after the family's social diary: restaurant reservations, birthdays, children's parties, private events, and personal and health appointments, both in the UK and while the family is overseas
  • Checking invoices before payment, handling payments, chasing refunds and filing documents and receipts
  • Recruiting and co-ordinating household staff, including setting up interviews and trials, and keeping staff schedules in step with the children's school and activity timetable
  • Finding and managing contractors and suppliers for the house, booking trades visits and being the first point of contact for any faults
  • Looking after the family's pets: booking the groomer and the vet, and organising pet care whenever the family is away
  • Following up proactively with schools, suppliers, agencies and venues, and keeping the Principal informed before she needs to ask
  • Errands, personal shopping and buying gifts
  • Ad hoc projects and research as required

What you will need

  • At least 3 years' experience as a Private PA in a HNW/VIP setting (essential)
  • Excellent calendar management, with accuracy and a sharp eye for detail
  • Excellent record keeping, so that family preferences, supplier contacts, invoices and documents stay accurate, organised and up to date
  • A responsive, resilient and calm approach, able to deal quickly with frequent back-to-back requests
  • Highly organised and proactive, with the confidence to use your initiative and anticipate needs before being asked
  • Sound judgement and discretion: you read people and situations well and handle sensitive family matters confidentially
  • Confident processing invoices and payments with accuracy and proper security
  • Fluent English, excellent written and spoken communication, and polished, professional presentation
  • UK-based experience, skills and contacts, including experience of working in London
  • Willing to flex your hours occasionally – some evenings, weekends or holidays around trips and urgent requests (this is not excessive)
