FULL-TIME PA ROLE - HENLEY-ON-THAMES, OXFORDSHIRE

The Role:

We are seeking a highly organised and proactive PA to become the true right-hand support to our Managing Director, in a business and private capacity. This is a new role based in our office in Henley-on-Thames. Occasional travel during the day may be required.

You will be responsible for:

– Proactively prioritising tasks, ensuring that urgent and strategic initiatives are delivered and completed.
– Extensive diary management including arranging meetings, appointments, and conference calls with precision and accuracy.
– Prepare for meetings by drafting agendas, gathering necessary materials, organising refreshments, summarising AI-produced minutes, and following up on action items.
– Maintain confidentiality of sensitive information and handle it with discretion.
– Liaise with internal teams and external partners on behalf of the Managing Director, acting as the main point of contact to ensure clear communication and alignment.
– Act as a gatekeeper for the Managing Director and primary point of contact.
– Manage professional correspondence on behalf of the Managing Director, including email screening, drafting responses, and ensuring timely follow-up on key communications.
– Support the Managing Director with key business projects such as the annual pre-audit project by helping to track progress, compile reports, and manage deadlines.
– Assist with preparing presentations, reports, and other documentation for internal and external meetings, ensuring that all materials are polished and ready in advance.
– Organise business travel arrangements, including flights, accommodation, transportation, and itinerary management.
– Manage and submit expenses on behalf of the Managing Director.
– Have an overview of personal calendar ensuring smooth coordination between professional and personal life.
– Assist with personal errands such as organising refreshments and occasional other personal tasks as needed.
– As this is a new role, other responsibilities may arise from time to time that are not listed above.

Experience required:

The successful candidate will be highly organised, detail-orientated, and able to handle multiple tasks simultaneously.

You will have:

– Proven experience as a Personal Assistant or Executive Assistant supporting senior executives, ideally with a mix of professional and personal support responsibilities.
– Strong attention to detail, with a proactive and dynamic approach to problem-solving.
– Exceptional organisational and time management skills with the ability to handle multiple tasks and prioritise effectively.
– Excellent written and verbal communication skills in a professional and courteous manner.
– Ability to handle sensitive information with the utmost confidentiality and discretion.
– Tech-savvy, with proficiency in MS Office (Word, Excel, PowerPoint, Outlook) an familiarity with digital tools for managing tasks, calendars, and communications.
– Experience with Power BI would be beneficial but is not essential for the right candidate.
– The ability to remain flexible and adapt to changing priorities in a fast-paced environment is essential.
– A full UK licence.
– Excellent references.

Other information:

– Fixed 1 year contract with scope to extend.
– Monday – Friday/8.30am – 5.30pm (1 hour break for lunch).
– 20 days holiday plus bank holidays.
– Salary up to £ 45,000 gross p.a.
– Start date around September.
